Streamlining Your Payroll Process for Efficiency and Compliance

Payroll is one of the hardest jobs in any school or academy trust.

Staff need to be paid correctly and on time, every month, and every run has to meet HMRC, pension and employment law requirements. So how do you make it run more smoothly? Here are seven practical steps to get you started.

Automate your payroll

Manual payroll takes time, and every manual step is another chance for an error to creep in. Payroll software handles the complex calculations for you, from tax, National Insurance, pension contributions and deductions. You get fewer errors, and a payroll run takes a fraction of the time it would by hand. Regular software updates also keep you in line with the latest tax thresholds and HMRC rules, and your Real Time Information (RTI) submissions go in on time.

Keep employee records accurate

Accurate pay starts with accurate records, and when a detail is out of date, the error carries through to payslips, pension returns and HMRC submissions. Keep personal details and bank information current. Do the same for contract types, pay scales, hours and term-time patterns, and for tax codes, NI numbers and student loan deductions. Pension details matter just as much, whether staff are in Teachers' Pensions, the LGPS or an auto-enrolment scheme. Choose a system that makes all of this quick to update and easy to find.

Review your payroll policies regularly

Legislation changes, and so do your own terms and conditions. Review your payroll policies at least once a year, and check that additional hours, TLRs and other allowances are clearly defined, and that tax, NI, pension and salary sacrifice deductions are applied correctly. Make sure you track and pay sick leave, family leave and holiday pay accurately - holiday pay for term-time staff needs particular care. Once your policies are up to date, make sure staff know how those policies affect their pay.

Keep up with payroll legislation

Payroll compliance isn't optional, and the rules change often, from National Living Wage rates to tax thresholds, pension contribution rates and teachers' pay awards. Signing up for HMRC's Employer Bulletin and GOV.UK updates is a good place to start. Webinars and training sessions will also help you stay current, whilst regular check-ins with a payroll specialist or employment law adviser will give you confidence that nothing has been missed.

Protect payroll data

Payroll data is some of the most sensitive information your organisation holds, and protecting it safeguards against fraud and keeps you compliant with UK GDPR. Limit access to authorised staff only. Encrypt data when it's stored and when it's sent. Back it up regularly, so a system failure or cyber attack doesn't mean losing it.

Offer employee self-service

Giving staff direct access to their own pay information benefits everyone. With employee self-service, staff can view payslips and P60s, update their personal details and manage their own bank details whenever they need to. Records are more accurate because people keep their own details up to date. Your HR and payroll team also spend less time on routine queries and more time on the work that needs them.
