Welcome back!
It has been a hectic six months. We hope the return has gone relatively smoothly for your school. We just wanted to let you know of a few updates we have been working on:
Coronavirus Documents
We have created a specific section of documents for Coronavirus on our new Jedu platform. This includes the following documents for you to use: -
- All privacy notices updated with an addendum on collecting data for test and trace (the addendum is also added as a separate document if you would prefer to add it into your own privacy notices).
- A short form privacy notice for visitors coming to your school informing them about test and trace.
- A declaration form for visitors to complete confirming they don’t have symptoms and are not in quarantine.
- A test and trace collection sheet.
- An updated acceptable use policy covering home working and video conferencing.
- Our guidance notes on best practice for video conferencing and home working.
- A template letter to send affected individuals about a suspected case.
Please remember that you will need to record parent, pupil, visitor, staff details for the purposes of test and trace. If you do experience any resistance from individuals who refuse you to retain their details for this purpose do let us know and we can assist you further. If you still have not obtained your password to Jedu or are having trouble logging in do let us know.
Updating privacy notices
As we have now updated privacy notices in relation to Coronavirus and test and trace, now may be a good opportunity to refer all individuals to the updated privacy notices. This doesn’t mean they have to be provided with a physical copy of the notice. Our suggestion would be to send a group communication referring individuals to where they could find the updated notice (for example on your website).
New E-learning
We have also added two new e-learning sessions to our platform: -
- Home Working Guidance (a session designed for all staff giving them a bit of awareness on data protection and security issues whilst working from home).
- Data Retention (giving staff an initial indication of what retention periods are and why it is important to follow retention process).
Data Protection Impact Assessments (DPIAs)
It is recommended practice to complete a DPIA when introducing new technologies and systems which affect personal data (whether this is pupil tracking, CCTV, video conferencing amongst others). Do contact us if you need assistance with completing a data protection impact assessment. We do have a wide range of DPIAs which we can help complete with you. A DPIA should be completed prior to implementing the new software/technology.
